A general overview of how to close a room

At times, your school may experience a situation where a room needs to be unavailable for passes. This could be situations such as a restroom that is having maintenance done or when someone who has an office is off campus.

Follow the steps below to see how to close a room to prevent passes from being created or requested to and from it.

Closing a Room

On your Rooms Dashboard, click on the room you want to close.

In the top right corner of the pop-up window, you’ll see the availability of the room, which is set to open by default

To close the room you selected:

- Click on the word ‘Open’

- Select the Close option

- Once you click on Close, you will need to Save the room.

Here’s what it looks like when a school closes their Nurse's Office:

After the room is saved you will be brought back to the view with all of your rooms and the room will now show the word Closed on the icon.

Once the room is set to ‘Closed,’ students and teachers won’t be able to create, or request, passes to that room. When trying to select a room, they’ll see a ‘closed’ indicator in all views and hovering over the room will let them know that "this room has been closed by an administrator".

Opening a Closed Room

Once you’re ready to re-open the room, you’ll repeat this same process in reverse to set the room to ‘Open.’

💡Important Reminder:

Rooms must be closed and opened manually so you’ll want to make sure you don’t forget to re-open closed rooms on SmartPass if the room is available on campus.

FAQ

Can a teacher still write a pass to a closed room?

No, when a room is closed, it is off-limits for pass writing from all types of accounts.

Can a room be set to open and close automatically at set times?

Not at the moment, although we are planning this feature for a future update!

Can teachers open and close their own rooms?

Currently, only admins may change the open and closed status of a room.
